Updating Client Preferences

Client preferences and client items can be viewed and updated in the TaxLedge Maintenance screen. Transaction items can be viewed but not updated.

V2 security: The TL_ADMIN job and TaxLedge Maintenance tasks, and the ACTGL_SYSTEM_MAINT, ACTGL_SYSTEM_MAINT_UPDATE_ITEM, and ACTGL_SYSTEM_MAINT_UPDATE_PREF entitlements should be considered for users needing to use these screens.

User Entitlements

ACTGL_SYSTEM_MAINT: Access and query the TaxLedge Maintenance screen

ACTGL_SYSTEM_MAINT_UPDATE_ITEM: Update client items on the TaxLedge Maintenance screen

ACTGL_SYSTEM_MAINT_UPDATE_PREF: Update client preferences on the TaxLedge Maintenance screen

  1. From the Main Menu, click Administration, then select TaxLedge Maintenance. A blank Client Prefs screen appears. To insert or modify transaction types, skip to step 6.

Client Preferences

  1. Press F8 (Execute Query) to see all of the client preferences, then use the scroll bar to view all the entries.  To query on a particular one, press F7, enter the name of the preference in the Code field, then press F8. You can also search on the other columns on this screen using the same F7/F8 key sequence.
  2. To toggle between the View Only and Update Allowed options,
  • Click the desired radio button in the Search Option area.
  • Click in the top row of the table.
  • Press F7.
  • Press F8.
  1. The following information is shown:
  • Type Code - Defaults to CLIENT. This should not be changed.
  • Code - The name of the client preference.
  • Description - If this is Yes, the activity is permitted.  If other verbiage is present, it is a description of the associate code.
  • Other - A description of the preference or the part of TaxLedge that uses this preference.
  • Expire Date - If a date is entered, the preference setting reverts back to the default setting after that date.
  • Client Update Allowed - If checked, authorized users can change the preference setting.
  1. Make any changes to an existing preference. You can change only the Description and the Expire Date.
  2. Press F10 (Save) to save your changes

Client Items

  1. Click the Client Items tab. The Client Items screen appears.
  2. Press F8 (Execute Query) to see all of the data, then use the scroll bar to view all the entries.  To query on a particular one, press F7, enter the name of the code in the Type Code field, then press F8. You can also search on the other columns on this screen using the same F7/F8 key sequence.
  3. To toggle between the View Only and Update Allowed options,
  • Click the desired radio button in the Search Option area.
  • Click in the top row of the table.
  • Press F7.
  • Press F8.
  1. The following information is shown:
  • Item Type - There are various categories used to group transaction types together (for ex., MAINMENU_ITEM).
  • Item Name - The name given in the database for the item type.  
  • Item Description - A description of what the Item Name does in TaxLedge.
  • Item Value - The current value of the item for your tax office. This is similar to a client preference setting the TCS.
  • Authorization Code Required - If checked, users must enter an authorization code.
  • Expire Date - If a date is entered, the item value reverts back to the default setting after that date.
  • Client Update Allowed - If checked, authorized users can change the item setting.
  1. Make any changes to an existing type. You can change only the Item Description, Item Value, and Authorization Code Required fields.
  2. Press F10 (Save) to save your changes.

Transaction Types

  1. Click the Trans Types tab. The Transaction Types screen appears.
  2. Press F8 (Execute Query) to see all of the data, then use the scroll bar to view all the entries.  To query on a particular one, press F7, enter the name of the code in the Type Code field, then press F8. You can also search on the other columns on this screen using the same F7/F8 key sequence.
  3. The following information is shown. No changes can be made by users:
  • Category - There are various categories used to group transaction types together (for ex., CHECK_TYPE, PAYABLE_DEP).
  • Transaction Type - The name given in the database for the transaction type.
  • Type Description - A description of what the Type does in TaxLedge.
  • Post Table - The name of the database table that stores information for this transaction type.
  • Expire Date - If a date is entered, the item value reverts back to the default setting after that date.
  • Client Update Allowed - If checked, authorized users can change the type setting.
