You can use the Account Status screen to view all account balances and payments for a specific account. This is a display-only screen; you cannot make any changes to the information displayed in it. You can, however, limit the number of years and tax units that are displayed to see different amounts due.
The following user entitlements are used on this screen. They are part of the Public Users and View Only Major Screens tasks, which are part of most jobs. See Tasks, Entitlements, and Jobs for more information.
ACT8006: Allows users to use the Account Status screen.
SHOW_PREV_NEXT_OWNER_BUTTON: (public users only): Allows the Previous Owner/Next Owner buttons to be displayed on the Account Status and Account Master screens.
ACT_DOCUMENTS: Allows the Documents button to be visible on the Account Status screen.
DOCUMENT_VIEW_ALL: Allows users to view restricted documents.
STMT_LOG: Allows users to view a list of statements, receipts, and notices printed for this account ( part of Print Statements task)
ACT8006_SHOW_REFUND_BUTTON: Allows users to see the Current Refunds button, which shows data about voids and refunds processed in TaxLedge.
CHECKBOOK_VIEW: Allows user to see the Checkbook View screen, which lists levy changes, transactions, and name changes by year and unit. Clicking the links on the screen allows users to see additional details.
VIEW_ONLY_NEW_CERT_YEAR: Allow users to view data for the new certified year before the CURR_YEAR preference is changed to that new year. If granted, accounts that exist only for the new certified year will be displayed. If not granted, these new accounts will not be displayed.
EVENT_COMPARISON: Allow users to view the Event Comparison screen. If this entitlement is not granted, the SB2 Values button is not visible
CURR_YEAR_PAY: Set to FIRST to order the years from most recent to oldest in the Account Status, Payment History, and Receivable screens. Set to LAST to order the years from oldest to newest. This preference does not determine which years are paid first; the preference CURR_YEAR_PAY_SCREEN is used for payment order.
CW_UNITS: If you want the ability to display only amounts for county tax units, enter those units in the\is client preference.
DISCOUNT_WRITE-OFF_FEES: Data for one of the columns on the Account Status Detail screen can differ depending on how you set this preference. If set to 1, the column heading is Discount and discount amounts will be shown. If set to 2, the column heading changes to Write-Off and the levy amount written off for each year is shown. If set to 3, the column heading becomes Fees and fee amounts from the 9000 units are shown in this column instead of being added to the base levy amounts. Tax certificate fees are not included. If set to 2 or 3, the base levy and paid levy will be displayed as if no discount amounts exist.
VALUE_IN_SYSTEM: Enter GROSS VALUE, APPRAISED VALUE, or MARKET VALUE, whichever one you want as the title of the value column in this screen. The value displayed is the highest value shown in the Receivable screen for that account and year, for units less than 1000.
SHOW_ARCHIVE_DATA: If set to TRUE or Y, all data in the archive tables will display. The archive tables include fully paid accounts from prior year. To not show archive data, set this preference to FALSE or N. Contact ACT to find out what years have been archived for your tax office.
FORMAT_SCREEN_CAN: If set to Y, the account number will display with hyphens and/or slashes. If set to N, no such formatting is displayed.
ALERT_WARNINGS_FEATURE: Set to Y to see the Alert button on the Account Status Detail screen. Set toN to disable this button. If this is set to Y, other client preferences can be set to determine what messages will display in the Alert window, what other screens will have an Alert button, and whether the Alert window will appear automatically. See Viewing Alert Messages for more information.
ACCT_STATUS_INTERNET_BUTTON: Set to Y to display the Internet Payment button on the Account Status Detail and Advanced Payment screens when a credit card or eCheck payment has been taken on an ACT 7 web site. Set to N to always hide this button.
ACT8006_SHOW_VETERAN_NULL: Enter Y to leave the V in the HOVDFAER columns blank if the account has no Veteran exemption; enter N to show a 0.
SUMMARIZE_TOTAL_ACCOUNT_DUE: Enter Y to allow multi-owners to be shown individually and as a totality on the Account Status screen; enter N to allow only the first owner in a multi-owner account to be shown.
SHOW_RECEIVABLE_CURRENT_DUE: Set to Y to allow users to double-click in the Payment Detail popup and see another popup showing the year, unit, receipt no., rec type and levy due. Set to N to not show this popup (this code is currently for Dallas only).
ACT8006_ADDR_LINE : Set to ADDR to keep the owner address in the address line area of the Account Status Detail screen, set to PARCEL to show the parcel address instead of certified owner address, or set to LEGAL to show the legal description in the address lines. The default is ADDR. The client preference ACT8006_USE_PARCEL_ADDR is obsolete as of 5/29/2009.
WEEKEND_LOGIC_FOR_PANDI: If set to N, penalty and interest will always increase on the first day of the month. If this is set to Y, penalty and interest will not increase until the second business day of the new month if the last day of the month is on a Saturday or Sunday. This applies to current and prior year delinquent amounts.
DEF_SHOW_EXEMPTION: If set to Y (the default), the $0.00 DEF exemption will be created in the Account Status screen, regardless of the levy balance on the account. If set to N, the exemption is created only if there is still a levy balance on the account. Deferral exemptions display for all years. If a deferral end date exists, the exemption is removed, even if the account is within the 180 day grace period for paying without penalty.
ACCT_STATUS_SHOW_ALL_REFUNDS: Set to Y to show all refund amounts on Account Status. Set to N to not show refund amounts in units marked as Non-Refundable on the Tax Unit Maintenance screen. The drill-down window shows all refunds regardless of this preference setting. The default is Y.
SHOW_OWNER_OR_CAD_NUM: Set to OWNER to show the Owner Number or set to CAD to show the appraisal district number for the account. The default is OWNER.
STMT_IMAGE_AVAILABLE: Set to Y if.pdf images of individual certified statements are available for viewing at your tax office. Set to N if this is not available for your office. If set to Y, make sure the preference STMT_IMAGE_URL has the correct URL setting for your tax office [http://[server name or IP address/act_images/statements/[client ID]/. The default is N. If batch menu no. 998, Load Statement Image Data, was used to load statement data information to TCS, enter 'file:' as the STMT_IMAGE_URL.
ACT8006_SHOW_UNITS_ABOVE_1000: Set to Y to show market and appraised values for units between 1000 and 4999. Set to N (the default) to show $0.00 for the value of these units.
ACCOUNT_SUMM_RPT_ADD_DELQ_DATE: Set to Y to include a statement about the current tax delinquency date on the Account Summary Report. Set to N to omit this line.
PENDING_PAYMENT_DAYS_TO_KEEP: (Dallas County only) Enter the number of days to keep the 'pending payment' message for credit card and eCheck payments.
ACT8006_SHOW_SIT_CLIENT_ID: Enter the Client ID for SIT at your tax office, which will cause an SIT Payments button to be visible. If this is expired, this button will be hidden. By clicking the button, a pop up that shows SIT payments for the current SIT year appears.
ACT8006_FUTURE_YR_ESCROW_POPUP: Set to Y (the default) to give an alert message for future year escrow payments; set to N to not display a message.
ACT8006_EXCLUDE_FEE_TU_LIST: Enter the tax units to hide from the Account Status payment detail screen. The default is to expire this preference.
Note: If you don't know your account number, see Locating an Account. Appraisal district numbers can be found on the Account Master Summary screen. If the owner has more than one property, properties for owner no. '0 are shown first.
Note: The Last Payer is the last payer of levy only, not fees, tax certificates, or refund recipients (including those from the Refund Change Recipient screen or having an RD transaction type in the Payment Distribution screen). The Last Payment Date is the receipt date of the last transaction, which includes payer changes, transfers, voids, and reversals, but ignores the dates that refund recipients were changed or posted back.
If an Internet Payment button is visible, this account has either a credit card or eCheck payment made on the tax office's web site that has not been posted via the Internet Payment Posting program. After clicking this button, a popup will appear that lists all such unposted or scheduled payments (EC indicates eChecks, CC indicates credit cards), along with the amount and the transaction date. After clickign OK, you may see additional pending or scheduled payments. Once the payment(s) are posted into the Tax Collection System, this button will no longer appear.
If a document has been attached to this screen (using the Documents screen), the Documents button at the top of the screen will be red. After clicking this button, part of the Documents screen appears, with the document(s) attached to this account listed. To view a document, click the button with the asterisk (*) on it at the end of the row for the document you want to see. If the asterisk is missing, the document is restricted from your view. You cannot add or delete documents while on the Account Status screen.
Set the client preference SIGNATURE_YES to Y to print an extra page that can be signed. Set the COLLECTOR preference to the name you want to use as the signature. Set the CPA preference to the Tax Assessor's name.
For multi-owner accounts, the Previous and Next Owner buttons go to the previous or next owner alphabetically, not the previous or next owner for the account. Use the scroll bar to the right of the address to see additional accounts for the same owner.
The Previous Owner/Next Owner buttons are disabled on the Account Status screen for public users (who have the CONFIDENTIAL_ACCT user entitlement unchecked) if the SHOW_PREV_NEXT_OWNER_BUTTONS user entitlement is also un-checked.
If you click the Indiv. Owners button, it will change to All Owners and the Owner No. will display 0, for the first owner. The values on the screen will pertain only to this owner. Use the scroll bar to see values for the other owners.
Note: Owners can be added on the Account Master screen.
To remove fees from the base levy, click Remove Fees.
To list fees back into the base levy, click Restore Fees.
Notes: The Amount Due column will be shaded in blue if fees are associated with an account, even if the fees have been paid in full.
The Remove Fees/Restore Fees step should be done before using the Multi-Select options on this screen, as it affects whether or not fees will be shown after selecting other years, units and rec types.
Paid Levy: Sum of levy and miscellaneous fees (except for Tax Certificate fees) paid to date (if Remove Fees has not been grayed out). If Remove Fees has been grayed out, only the levy paid to date will be displayed.
Discount: Discount still eligible to be applied if the account is paid off in a discount month. This column appears only when the DISCOUNT_WRITE-OFF_FEES client preference is set to 1. The discount is calculated from the base levy.
Remaining Levy: Amount of levy and miscellaneous fees still due. (if Remove Fees has not been grayed out). If Remove Fees has been grayed out, only the levy still due will be displayed. During a discount month, this levy will take the discount into account and show only what is due that month.
Fees: Penalty, interest, attorney fees and collection fees still due on the account. (For more information, see Viewing Fees for an Individual Account.)
Note: The system will automatically move refund funds to pay off existing levies within a particular year. Refunds available for one year are not able to pay off another year.
Paid Levy: Total amount of levy and miscellaneous fees paid (if Remove Fees has not been clicked). If Remove Fees has been clicked, only the levy paid will be displayed.
Discount: Total amount of discount applied. The discount is calculated from the base levy. This column appears only when the DISCOUNT_WRITE-OFF client preference is set to 1. Paid Levy + Discount equals Base Levy - Miscellaneous Fees if the Remove Fees button is not grayed out; if that button is enabled, Paid Levy + Discount equals Base Levy.
Fees: Total amount of penalty, interest, and attorney fees and collection fees paid on the account.
The same options are available by using the drop-down lists or the Multi-Select button on the far right of the screen (OS indicates an agricultural rollback). Further instructions are given below.

There are two ways to see information for only selected years, tax units, and/or rec types on the Account Status screen (also see information about the Remove Fees/Restore Fees button above):

Multi-Select Window
You can select certain years, tax units, and rec types all at once in the Multi-Select window, which you can view by clicking the Multi-Select button.
- Include one (for ex., one year). You can then add another year, unit, or rec type by highlighting another line in the Available columns, then clicking this button again.
- Include all (for ex., all years)
- Remove one (for ex., one year). You can then remove another year, unit, or rec type by highlighting another line in the Selected column and clicking this button again.
- Remove all (for ex., all years)
For example, if you want to see data for only one year (2001), highlight that year, then click the Include One button ().
Note: You can click the Close Window button at any time to stop the selection process.
Drop-Down lists
You can also include a year, unit, or rec type from the data on the Account Status screen by using the drop-down lists.
Year - Click the Year drop-down list and click the year to include.
Unit (including the unit forevery year) - Click the Tax Unit drop-down list and click the tax unit to exclude.
Rec Type (OS - Ag Rollback; TL - Tax Levy) - Click the Rec Type drop-down list and select the rec type to include.
Note: To Include years or units you have previously excluded, return to the drop-down list and select the blank line at the bottom.
If the client preference SHOW_RECEIVABLE_CURRENT_DUE is set to Y, you can double-click in the Payment Detail window to see more information, including the receipt number and rec type for each unit. (This functionality is available for Dallas only.)
