Finding an Account Balance

You can use the Account Status screen to view all account balances and payments for a specific account. This is a display-only screen; you cannot make any changes to the information displayed in it. You can, however, limit the number of years and tax units that are displayed to see different amounts due.

 

 

  1. From the Main Menu, click the Account Status button or select Inquiry, then Account Status, or click the Go To drop-down list and select Account Status.  The Account Status Detail screen will appear.
  2. If the account has carried over from a previous screen, the screen will fill with data.  

    If the Account Number field is blank, enter an account number or appraisal district number, press F8, then go to the next section.

    If you need to enter a different account number or appraisal district number, press F7, key in the new number, press F8, then go to the next section.

Note: If you don't know your account number, see Locating an Account. Appraisal district numbers can be found on the Account Master Summary screen. If the owner has more than one property, properties for owner no. '0 are shown first.

  1. If the client preference ACT8006_FUTURE_YR_ESCROW_POPUP is set to Y and one or more escrow payments have been made to the new certified year (or any future year), a popup message appears on Account Status when entering the screen that states the year, unit(s) and the sum of escrow payments to that year and unit. Regardless of the preference setting, you can also double-click the Refund column of the current tax year to see the same data in a Future Tax Year Escrow Payments popup window.
  2. To see the Last Payment Date and Last Payer for a particular year, click the row displaying that year to highlight it.  These two fields will display the information pertaining to that tax year.  

Note:  The Last Payer is the last payer of levy only, not fees, tax certificates, or refund recipients (including those from the Refund Change Recipient screen or having an RD transaction type in the Payment Distribution screen).  The Last Payment Date is the receipt date of the last transaction, which includes payer changes, transfers, voids, and reversals, but ignores the dates that refund recipients were changed or posted back.

  1. If the Notes button is a color other than gray, notes exist for this account.  Notes are grouped by year on the Account Status screen.

If an Internet Payment button is visible, this account has either a credit card or eCheck payment made on the tax office's web site that has not been posted via the Internet Payment Posting program.  After clicking this button, a popup will appear that lists all such unposted or scheduled payments (EC indicates eChecks, CC indicates credit cards), along with the amount and the transaction date.  After clickign OK, you may see additional pending or scheduled payments. Once the payment(s) are posted into the Tax Collection System, this button will no longer appear.

If a document has been attached to this screen (using the Documents screen), the Documents button at the top of the screen will be red. After clicking this button, part of the Documents screen appears, with the document(s) attached to this account listed. To view a document, click the button with the asterisk (*) on it at the end of the row for the document you want to see. If the asterisk is missing, the document is restricted from your view. You cannot add or delete documents while on the Account Status screen.

  1. Click the Acct History Report button to see the same report that can be run from batch menu no. 10.  From this screen, the report will display data for all years and units IF your cursor is in the Account Number field.  If you click in one of the years in the bottom part of the screen, data for only that year will print on the Account History report. The entitlement VIEW_ONLY_NEW_CERT_YEAR is also considered.

Set the client preference SIGNATURE_YES to Y to print an extra page that can be signed.  Set the COLLECTOR preference to the name you want to use as the signature. Set the CPA preference to the Tax Assessor's name.

  1. Click the Account Summary Report button to see the same report that can be run from batch menu no. 47.  The report will display values, base levy, and amounts paid for each year and unit. Years that have been archived are included. The following client preferences are used: CPA_NAME_ONLY’, CPA_TITLE, JUR_ADDRESS2, JUR_ADDRESS3, JUR_ADDRESS4, JUR_PHONE, FAX, and ACCOUNT_SUMM_RPT_ADD_DELQ_DATE.
  2. Authorized users can click Statements at the top of the screen, then select Checkbook View. A web site page displayed the sections of information that is accessible by clicking the hyperlinks: summary by year, detail by year and unit, transactions (original bill, levy adjustments, payments), and name changes by year. For each line of data, the following information is provided: year, date, tax unit, owner (for confidential accounts, only authorized users can see the owner name), levy, levy adjustments, payments, balance and notation (reason for the change or entry).
  3. Click the SB2 Values button if it is red. This means there is data that can be viewed on the Event Comparison screen.
  4. Click the Prev Account, Next Account, Prev Owner, or Next Owner buttons to see different accounts or owners.  If the Account buttons are blue and are labeled Prev Selected or Next Selected, you can see the previous and next accounts in the group of accounts you selected in the Account Search screen. To leave the 'selected' group, go back to the Account Search screen and search for a different account.  If you remain on the Account Status screen and search for a new account, you will remain within the 'selected' group after the search is completed.

For multi-owner accounts, the Previous and Next Owner buttons go to the previous or next owner alphabetically, not the previous or next owner for the account. Use the scroll bar to the right of the address to see additional accounts for the same owner.

The Previous Owner/Next Owner buttons are disabled on the Account Status screen for public users (who have the CONFIDENTIAL_ACCT user entitlement unchecked) if the SHOW_PREV_NEXT_OWNER_BUTTONS user entitlement is also un-checked.

  1. If the client preference SUMMARIZE_TOTAL_ACCOUNT_DUE is set to Y, you will see an Indiv. Owners button at the top of the screen and the Owner No. field will be set to ALL.  At this point the data you see is for all owners of the account.  Use the scroll bar next to the Owner No. to see additional owner names.  The values on the screen at this point are the sum of all owners.

If you click the Indiv. Owners button, it will change to All Owners and the Owner No. will display 0, for the first owner. The values on the screen will pertain only to this owner.  Use the scroll bar to see values for the other owners.

Note: Owners can be added on the Account Master screen.

  1. If the client preference RENDITION_CONTROL is set to EMBED and the account has rendition penalty, the base levy for the year of the penalty will have a green background.
