Selecting or Removing Internet Payment
Transactions

There are currently several steps involved to post Internet payments:
- Select
individual accounts to be paid by using the Internet
Payment screen. This also creates a file that will be used
by the posting process (this takes the place of the iPayment File
process).
- (optional)
Print an Internet Credit Card Payment report (batch menu no. 143), an Internet
E-Check Payment Report
(batch menu no. 142).
- Post
the selected payments into the Tax Collection System by using the Internet
Credit Card Posting process on the batch menu.
This Internet Payment screen displays accounts for which Internet payments
have been successfully processed through an ACT 7 web site. You can select
either all or some of the accounts on this screen to be posted. You
should base your decisions on what funds have reached your depository
bank account.=
User Entitlements
The following user entitlement must be set for each user
who needs access to the Portfolio Payment screens. It is part of the Manage Internet Payments and Run Batch Processes tasks.

Head Cashier job. See

PENDINGPAYMENTS
- allow users to access the Internet Payments screen.
Client Preferences
INTERNET_PAYMENT_DELAY
- Set to the number of days to lapse before Internet transactions are
shown in the Internet Payment screen. Typically this is the number of
days between the date the payment is taken on the Internet and the date
those funds are deposited into the tax office's bank account. For
ex., entering '1' means that payments made on the Internet yesterday will
be visible in the Internet Payment screen and on the Account Status screen's
Payment Pending button.
INTERNET_PAY_SHOW_SETTLED
- Set to Y only for those
tax offices receiving settled transaction data in the daily credit card
reconciliation files. Currently, Hamer Enterprises is the only vendor
offering this option. For these offices, a Settled’ column will be
checked for all Internet transactions that have been flagged as settled
in the file. A settled transaction is one whose funds have been
deposited into the tax office's bank account.
If you manually post some or all of your Internet payments, you can
remove them from this screen as well.
Payments that have already been posted into the ACT system are not shown
on this screen.
The accounts having payments
listed on this screen will also have the Internet Payment button visible
on the Account Status screen.
- From the ,
select Update, then Internet Payments. The Internet Payment screen will
appear, showing all transactions that have not been posted by the
credit card lockbox. Credit card transactions are marked with a Type
of CC, while eCheck transactions have a Type of EC. When you enter
the screen, any payments you selected the last time you clicked either
Save Working Changes' or 'Create IPayment File' will still show
as checked in the Pay column and have a dark gray background. All other payments will be unchecked.
The same is true of the Settled column as well.
Note: Transactions
that have been voided or credited for the full payment amount will not
appear, since they are not eligible for posting.
For tax offices using Hamer Enterprises as their vendor,
the Settled column will be checked for all Internet transactions that
have been flagged as settled in the file.
A blue background on a payment row indicates an ag rollback (OS) payment.
- To change the order in which
transactions are listed on the screen, you can click the Transaction
Date, Account Number,
Split Pay, Payment
Amount or Type buttons
at the top of the appropriate columns.
- To select a new group of accounts
(or make changes to the previous group) for posting,
you can:
- In the Search
box, enter a date range and/or select a Payment
Type option (all, credit card only or eCheck only). If the
client preference INTERNET_PAY_SHOW_SETTLED is set to Y, you can also
choose a Settled Type option (all, settled only or unsettled only)
.
- To show only ag rollback payments, click the OS Accounts only radio button.
- Check the payments
that you do not wish to post or check the Select/Deselect
All Pay box to check all the checkboxes, then uncheck the individual
accounts that you do not want to pay. The Totals
of Selected Items fields will be updated as you make your selections.
Note:
Make sure that any transactions that were checked when you came
to the screen are unchecked if you do not want to post those payments.
- If you
can see the Settled column,
you can check or uncheck transactions to mark them as settled. Clicking
the Select/Deselect All Settled
will check or uncheck the entire column. Since the Pay
column holds those transactions that will be marked for posting, you
can click the Copy All Settled to
Pay button to move all of the checkmarks in the Settled column
to the Pay column. Other checkmarks in the Pay column will not be
affected by this.
- If you are not ready to create
an iPayment file for posting, you can save your changes by clicking
the Save Working Changes button,
the Save button on the toolbar, or the F10 (Save) button on your keyboard.
- If you are ready to create
an iPayment file for posting click Create
IPayment File. A popup window appears with the batch
request number you need for posting the payments via a lockbox, batch
menu no. 145.
For transactions that were saved with a Settled
checkmark, the Settled flag is updated in the database. The transactions
you selected can now be used to post
the payments into ACT 7.
- To
keep a manually posted transaction from appearing in this screen,
- Check the payments
that you want to remove or check the Select/Deselect All box to check
all the checkboxes, then uncheck the individual accounts that you
do not want to remove.
- When you have finished
making your selections, click Remove
Selected Pay Transactions. The next time you come to
this screen, the selected transactions will not appear.
Note:
Make sure that any transactions that were checked when you came to the
screen are unchecked if you do
not want to remove those payments.
